Director of Operations · Agency Systems & Optimization

I build the systems that let a growing team breathe.

I'm Mandy Miller, an operations leader and AI-assisted builder. I turn scattered tools, handoffs, and spreadsheets into one clear way of working, so the team spends less time hunting and more time doing their best work.

“My job is to make my team's jobs easier.”

About

Hi, I'm Mandy.

I've spent 15+ years in operations, marketing, and client success across agencies, startups, and a national pharma sales team. The common thread is simple: I notice where people are getting stuck, and I fix that first.

Today I'm Director of Operations at SaaS Hero, a performance marketing agency for B2B SaaS companies. I own the handoff from sales to delivery, I've personally onboarded 200+ client accounts, and I built the processes our team runs on every day. I also run operations for a multi-truck party rental business, where I used AI-assisted development to replace a patchwork of tools with one command center.

I'm at my best on teams that are growing fast and want structure without losing their culture. If that sounds like yours, I'd love to talk.

Work

Experience

The short version of a long, happy career in making things run.

  1. Director of Operations · SaaS Hero

    Jan 2020 – Present · Remote

Performance marketing agency for B2B SaaS · Google Premier Partner · G2 recognized. Joined in January 2020, stayed on as an operations consultant through the COVID-19 pause, and have led operations since February 2022.

    • Helped grow the team from 2 to 20, hiring for fit with both the team and the role, onboarding people well, and keeping morale high through 10x growth.
    • Own the handoff from sales to delivery so every new client and our team start on the same page. I've personally onboarded 200+ accounts.
    • Built out the agency's processes in ClickUp as the backbone of delivery and integrated it with our critical agency tools. The client lifecycle, CRM, pipeline, onboarding, and project work now run on shared process instead of memory.
    • Used AI-assisted development to customize and build out the agency's Marketing Hub (see Builds).
    • Scaled operations as Google Ads spend under management grew 143%, from $6.05M in 2020 to $14.7M through Oct 2026, with $18M+ now projected annually across channels.
  2. Director of Operations · Party Rental Business

    Oct 2024 – Present · Wilmington, NC

Multi-truck event rental company with a field crew.

    • Replaced a patchwork of disconnected tools (rental software, CRM, support, finance, routing, scheduling, live tracking, messaging, reporting, inventory) with one operations command center.
    • Used AI tools to pull years of scattered lead and booking records into one customer view, with duplicates merged and repeat customers flagged.
    • Automated an 11-stage customer lifecycle in GoHighLevel with guardrails so a broken link or outdated quote never goes out.
    • Connected an AI chat assistant to live order data. It drafts replies; a person approves every one.
    • Built a crew mobile app with routes, packing checklists, photo proof, repair queues, and live GPS ETAs.
  3. Operations Consultant · Mandy Miller, LLC

    Mar 2016 – Present

The ops partner growing teams call when the work outgrows the process. I set up onboarding, project management, and communication systems, help find the right people, and leave behind a team that can run it without me.

Builds

Things I've built

I don't just pick tools. I shape them around how the work actually happens. Both of these were built with AI-assisted development in Lovable, starting from a real operational problem.

Demos use sample data. Client names and real customer records are not shown.

Marketing Hub client workspace showing budget pacing, blended performance and an alert for a campaign over its target cost
Google Ads insights view with spend, conversions and daily trend charts for a sample client
Meta Ads insights view with conversion trends, alert rules and budget pacing
Ad Copy Studio with brand context fields and messaging angles for paid social
A sample client project organized into Strategy, Keywords & Ad Copy, and Reporting folders

One workspace from onboarding to client review.

SaaS Hero Marketing Hub

Marketing work, connected.

What it does

Pulls strategy, keyword research, ad copy, experiments and four paid-media channels into one workspace per client.

How it saves time

  • Review every ad channel from one screen instead of four platform logins.
  • Client context travels with the work, so nothing starts from a blank page.

How it helps scale

  • Every new account gets the same structure: client 50 onboards like client 5.
  • Teams and roles spread the work across pods instead of one person.
Command Center dashboard with today's stops, weekend bookings, balance due and crew on the road
Live routes map of the Wilmington area with truck positions and next-stop ETAs
Messages view listing sample customer text conversations
Route planner calendar showing drops and pickups for each day
Warehouse view for assigning cleaning tasks and reviewing cleaning history
Crew mobile app showing a driver's route for the day with a packing list and stop progress

Every booking, conversation, delivery and balance on one screen.

Operations Command Center

Four tabs became one screen.

What it does

Brings bookings, routes, trucks, crews and balances into one workspace, with a PIN-login crew app for stops, packing lists and tasks.

How it saves time

  • Plan and adjust truck routes in one planner instead of separate lists.
  • Live GPS and arrival times cut the "where's the truck?" calls.

How it helps scale

  • Add trucks and crew without losing a shared view of the day.
  • Cleaning, maintenance and training run as tracked assignments, not memory.

More builds

Sites and apps for small businesses, a few friends and my own studios. Each one starts the same way: find what's slowing people down, then give it one clear home.

Time savings describe what each build takes off someone's plate, not measured results.

Carpe Amorem

Beyond work

Outside of operations, I'm a self-taught mixed-media artist in Wilmington, NC. Most of my pieces start as an upcycled cardboard box, layered by hand (sometimes 20 layers deep) with resin, reclaimed wood, sand, shells and sea glass.

My studio is called Carpe Amorem, which means "Seize the Love." My work has been exhibited at the North Carolina Aquarium at Fort Fisher (Ebb & Flow) and the North Carolina Aquarium on Roanoke Island (Rise & Return), with a portion of proceeds supporting ocean conservation.

Whether I'm building an operations system or a layered piece of art, I'm doing the same thing: taking what's scattered and giving it a structure that means something.

  • Two aquarium exhibits
  • Art from upcycled materials
